fleetroot’s Data Analytics dashboard has been redesigned and is now rolling out. The release brings end-to-end operational, commercial and fulfilment visibility into one interface.

The core change is unified filters: slice performance instantly by date range, hub, pharmacy, order type, payment method or order status. The previous interface stays available via “Open classic dashboard”, top right.

Figures below come from a 30-day period for a pharma distribution customer. Live order counts are identified separately.

## Overview: the executive dashboard

Overview brings four areas into one view: orders (completed, cancelled, failed, in progress), value and outcomes (order value, AOV, completion, cancellation and failure rates), service level (SLA compliance, on-time, order-to-delivery and stage averages) and right now (open orders from the last 7 days).

The 30-day view recorded 32,180 total orders: 27,348 completed, 3,422 cancelled, 552 failed and 858 in progress. Completion rate was 85.0%. Total order value was AED 7,405,565.35, with an average order value of AED 262.55.

Service level recorded 79.7% SLA compliance and 21.4% on-time delivery. Average order-to-delivery time was 7h 24m. Stage averages were 2h 09m for preparation, 3h 01m for dispatch wait and 24m for delivery.

Right now showed 617 open orders. Of these, 568 were past SLA and 3 were approaching SLA.

## Orders and revenue: daily trends and lifecycle

Orders and revenue adds daily trends: a visualiser combining volume bars with a revenue line, with callouts for busiest, quietest and peak revenue days. The order lifecycle view maps progression from creation through processing, dispatch, rider assignment and delivery, with cancellation rates, holds and approval bottlenecks at each stage.

## Exceptions and failure analysis: why orders stop

A cancelled order is an outcome, not a root cause. The exceptions tab tracks a cancellations and failures summary and daily trend log. Reason lists group operational remarks for root-cause work, and breakdown tables show rates by hub, pharmacy and order type.

The leading cancellation reason was “no remark,” recorded for 559 orders, or 16.3% of cancellations. Other reasons included customer (218), as per branch (213), too frequent (158), as per pharmacy (83) and out of stock (79).

Failures show the same gap. “No remark” accounts for 526 failures, or 95.3%. “No need for the item” and “duplicate” each appeared twice.

Fix reason-code discipline first. Require a usable reason on every cancellation and failure, agree the code list with branch, pharmacy and customer service, then track the mix. Without usable reasons, teams can count outcomes but cannot separate customer requests, stock issues, process delays or data errors.

## SLA and delivery: where the promise breaks

SLA and delivery compares actual fulfilment against promised customer delivery windows. Of 27,302 deliveries requested, 5,842 were on time (21.4%) and 21,460 were late (78.6%). Average delay by pick only was 6h 18m; average delay by time was 24m.

Stage-level measures locate where the promise breaks. Order Acceptance was 82.7% on time against a 10-minute SLA. Against 1h 30m for New to Delivery Completed, 61.8% were on time. Preparation was 48.4% on time against 15 minutes; Rider Assignment 42.3% against 5 minutes.

Breach distribution shows where to look. Order Acceptance accounted for 85.6% of breaches (588). Rider Assignment accounted for 17.4% (129) and Preparation 2.2% (16).

Breach rates vary by hour: 73.5% from 07:00–08:00, 71.8% from 08:00–09:00 and 71.4% from 09:00–10:00, then 14.6% from 11:00–12:00, rising to 38.1% from 21:00–22:00.

Breach tables rank hubs, pharmacies and order types by breach count and rate. Rider performance adds individual accountability: assigned volume, on-time success rate, average transit time, breaches and failures, with export.

## Live operations: what needs attention now

Live operations gives real-time visibility into active execution. The what-needs-attention summary shows open orders alongside SLA breaches, orders approaching limits, dispatch-ready orders without riders and high-priority counts. Current status breaks active volume down by stage, flagging breaches at each step. The orders-needing-attention queue prioritises at-risk orders by urgency, with breach reason, time in status, order age, hub and pharmacy.

The live view recorded 613 total orders: 568 exceptions, 3 approaching SLA, 106 on time and 584 delayed. This is a separate view from the overview open-order count.

Exception types included pharmacy closed (212), damaged item (76), address not found (49), customer not available (33), item out of stock (24) and wrong address (10).

## Busiest times: demand and peak patterns

The busiest times heatmap runs weekday by hour, reporting orders, revenue, average order value, fulfilment duration, SLA breach percentage and late delivery rate per slot.

The busiest day recorded 1,376 orders, against 809 on the quietest. Order creation peaked from 11:00–15:00. A 25.0% SLA breach rate was recorded from 09:00–10:00.

Use it to align staffing, rider availability and cut-offs with real demand.

## Order types and insurance analytics

Order types breaks performance down by fulfilment category (home delivery, insurance, IBT). The insurance sub-module tracks approvals from creation to completion: average turnaround, SLA breaches and a live waiting-for-approval tracker grouped by wait duration.

In the 30-day view, 10,255 orders were insurance orders. 1,432 were approved and 7,872 completed, while 2,046 were cancelled. Average approval time was 3h 12m. 301 orders breached SLA while awaiting approval; 40 were waiting. The cancellation rate on insurance orders was 20.0%.

Review ageing alongside approval status and cancellations to separate approval delay from delivery-stage delay.

## Locations, products, customers and payments

Locations compares hubs, pharmacies and areas on volume, exception counts, order value, on-time rate, SLA compliance and fulfilment speed, with amber highlighting for facilities below average.

Products and customers ranks top SKUs by net line value, flags most-requested-but-unavailable items to expose stockout losses, and tracks repeat purchase rate, spend and VIP concentration.

Payments covers payment method mix across delivered orders and value, plus cash-on-delivery follow-up: funds received, outstanding balances and collection rate.

## Insights and period comparisons

The insights tab runs an automated management summary: live SLA breach alerts, pending insurance approvals, revenue movements and branch outliers, each linking to the underlying detail. Period comparison benchmarks current performance against a previous date range.

## Set a first-30-day operating routine

- Check the overview and open-order position daily.
- Review past-SLA orders and exceptions. Assign an owner and next action.
- Audit cancellation and failure reasons. Correct missing or unclear codes.
- Compare SLA performance by stage and hour. Pick specific hand-offs to review.
- Review insurance approval ageing with the approvals team.

## From cost-driven to value-driven

Cost still matters. But a cost-only view misses avoidable cancellations, SLA breaches and the labour spent on exceptions. The new analytics puts those outcomes in one place, so teams can see what happened, where performance breaks and what to act on next. #fleetroot
